Vietnam Visa Approval Letter: Full Procedure Step by Step

Step 1 — Check the sponsor is registered
A company sponsoring for the first time must file form NA16 (seal and authorised signature specimen) together with its enterprise registration certificate. Nothing else can be processed until this exists in the system.
Step 2 — Prepare form NA2
One NA2 can cover several people. Names, passport numbers, dates of birth and nationality must match the passports exactly. State the visa symbol, the intended entry date, single or multiple entry and where the visa will be collected.
Step 3 — File with the Immigration Department
In person, by public postal service or electronically. Statutory processing is 5 working days from a complete file; urgent handling is possible for some categories.
Step 4 — Receive and distribute the letter
The approved letter is issued to the sponsor, who sends it to the traveller. Print it and keep a copy on the phone — airlines sometimes ask for it at check-in.
Step 5 — Collect the visa
At the border gate: submit the letter, the entry form, two 4×6 photos and the stamping fee in cash (25 USD single, 50 USD multiple under 3 months). At an embassy: follow that mission local procedure and fee.

The accommodation must file a temporary residence declaration. Without it, the next extension or residence card application stalls.
