Consular services for Canadian citizens

The Government of Canada page lists these consular services in Hanoi:

  • Passports: applying for a passport and dealing with a lost, stolen or damaged one;
  • Notarial services: having documents certified and authenticated;
  • Citizenship: steps to become a citizen and obtaining proof of Canadian citizenship;
  • 24/7 emergency consular assistance;
  • information on births abroad, marriage abroad and voting from abroad.

Visa and immigration matters (IRCC) go through an online web form, not the consular counter.

What to know before you go

  • Book online using the “Book an appointment” link on the embassy page – consular services are not provided without one.
  • Capital Place is a secure office tower: bring your passport to register at reception and arrive 10–15 minutes early.
  • The embassy closes on Canadian holidays (such as 1 July, Canada Day) and Vietnamese ones; hours may change during a large-scale emergency.
  • Out-of-hours emergencies: consular assistance is available 24/7.
  • The Google Maps pin is off: visitors say the embassy pin lands on a construction site; Capital Place is the large building across the street – look for the row of flagpoles.
  • The security guards at the entrance speak little English but are patient; have your appointment confirmation and passport ready.
  • Phoning usually does not get you an appointment – book through the online system. Emails may get an automated reply promising an answer within about five working days, and some services are referred to the Consulate General in Ho Chi Minh City, so ask which office handles your case.
  • With an appointment, visits are often quick (around 15 minutes for simple matters such as voting), and staff speak English and French.

What foreigners usually need when they contact the Canadian Embassy

These are the real-life situations that bring Canadian nationals to their mission, together with the extra step you need on the Vietnamese side:

  • Passport missing: police confirmation → emergency travel document or new passport → exit visa or new visa from Immigration (the old visa is gone with the old passport). See exit procedures.
  • Passport renewal: when the new passport arrives, move your visa or temporary residence card into it.
  • Civil status and employment papers: single-status certificates for marriage, birth certificates, diplomas and police checks for work permits all need legalisation and a notarised translation.
  • Signature notarisation on contracts and powers of attorney.
  • Citizen registration and voting according to Canada’s rules.

New arrivals can check the Vietnam e-visa guide; long-stayers should read about visa extension.

Help with Canadian passports in Vietnam

Yes – the Embassy of Canada in Hanoi accepts Canadian passport applications (new, and replacements for lost, stolen or damaged passports). Book online, prepare the form, Canadian-standard photos and supporting documents; for a lost passport you need a Vietnamese police report. If you need to travel urgently, ask about an emergency travel document.

Info Travel helps with booking, forms, photos and translating the police report and other Vietnamese papers, and can guide or accompany you to Capital Place. When the new passport is issued we transfer your visa or residence card; if the old passport was lost we arrange a new visa or exit visa. You attend in person as the embassy requires; Info Travel assists only within what is permitted.

Apostille, consular legalisation, consular certification (Ministry of Foreign Affairs / HCMC Department of Foreign Affairs stamp) and notarised translation

Vietnam has joined the Hague Apostille Convention: its instrument of accession was deposited on 31 December 2025 and the Convention entered into force for Vietnam on 11 September 2026. Canada is a party and did not object to Vietnam’s accession, so public documents moving between the two countries now follow the apostille route – far simpler than the old legalisation chain (background: apostille vs consular legalisation).

a) Documents issued in Canada for use in Vietnam

Main route: obtain an apostille from the competent authority in Canada (Global Affairs Canada, or the competent provincial authority in provinces such as Ontario, Quebec, British Columbia, Alberta and Saskatchewan) for public documents such as birth certificates, RCMP criminal record checks, marriage certificates or diplomas. An apostilled document no longer needs legalisation by a Vietnamese embassy or by the Consular Department; you only need a Vietnamese notarised translation before submitting it to the Vietnamese authority.

Consular legalisation remains the fallback – for documents outside the Convention (for example documents executed by diplomatic or consular agents, or administrative documents dealing directly with commercial or customs operations) or where the receiving office still insists: legalisation at the Vietnamese mission in Canada, or certification by the Canadian Embassy (where it handles that document) followed by legalisation at the Consular Department in Hanoi or the HCMC Department of Foreign Affairs, unless exempted under an international treaty.

b) Vietnamese documents for use in Canada

The Consular Department of the Ministry of Foreign Affairs (Hanoi) and the HCMC Department of Foreign Affairs are Vietnam’s apostille authorities. Vietnamese documents (marriage and birth certificates, degrees, court decisions…) apostilled there can be used in Canada without legalisation at the Canadian Embassy; add a translation into the language the authority in Canada requires. The old chain – consular certification followed by legalisation at the Canadian Embassy – is only needed for documents outside the apostille system.

Because the new rules only apply from September 2026, check with the receiving authority before you start so nothing has to be redone. Info Travel handles the whole process: translation, notarisation, the apostille or the Ministry/Department of Foreign Affairs stamp, and – where still needed – submission and collection at the mission. See our consular legalisation service; fees and timing are quoted on WhatsApp +84327828822.
