Consular services for Dutch citizens
All consular information for the Netherlands now lives on NetherlandsWorldwide. According to its Vietnam appointment page, the Hanoi embassy handles:
- Dutch passports and ID cards – each document needs its own appointment.
- Emergency travel documents after loss or theft – requested by email to han-ca@minbuza.nl.
- Legalisation of a signature and of a copy of an identity document.
- Certificate of life (often for pensions), certificate of marital status, certificate of legal capacity to marry and certificate of residence – these are requested by email, without an appointment.
- Naturalisation, the option procedure and Dutch nationality certificates.
- MVV visa stickers after an IND decision; Schengen and Caribbean visas are lodged through VFS Global.
What to know before you go
- No appointment, no entry: book via the NetherlandsWorldwide Vietnam appointment page.
- Bring every Dutch and foreign passport and ID card you hold (including expired ones), the printed and signed form and your checklist.
- You must show legal residence in Vietnam – a valid visa, residence card or Vietnamese ID – so sort out a visa extension first if yours is about to lapse.
- Vietnamese birth or marriage certificates must be properly certified and, unless in Dutch, English, German or French, translated by a sworn translator.
- The embassy publishes its closing days (a mix of Vietnamese and Dutch holidays); on some of them only emergencies are handled.
- Collection needs no appointment, but two official pages give different times (Mon–Fri 09:00–12:00 and Mon–Thu 10:00–12:00) – check before travelling.
- Google Maps shows office hours of 08:00–17:00, but the consular desk only sees booked visitors in the morning – do not rely on the map hours for consular matters.
- Visitors describe appointments as quick and the counter staff as friendly; be on time and bring printed forms so the appointment runs smoothly.
- The embassy is on the 7th floor of BIDV Tower on Tran Quang Khai (French Quarter, near Hoan Kiem Lake); allow time for the building’s lobby security check.
Common reasons foreigners contact the embassy
Lost Dutch passport in northern Vietnam. Report the loss to the local police and get a written confirmation, then email for an emergency travel document or book a passport appointment. Your Vietnamese visa disappeared with the old passport, so you will also need a replacement visa or an exit permit from Vietnam Immigration – see our guide to exit procedures.
Passport about to expire. A new passport does not carry your visa or temporary residence card automatically; the visa or card has to be transferred to the new passport by the immigration authorities. Tell the embassy staff if you want to keep the visa pages when you hand in the old passport.
Marriage, birth registration, work permits. Dutch citizens marrying a Vietnamese national usually need a certificate of capacity to marry or of marital status; those applying for work permits need apostilled criminal records and diplomas with a notarised translation. Signature legalisation is also common for powers of attorney used in the Netherlands.
Short-stay visitors also ask us about visa extension and the Vietnam e-visa – both are Vietnamese procedures, not embassy services.
Help with Dutch passport applications in Vietnam
The Hanoi embassy accepts Dutch passport and ID card applications. Every applicant, children included, must attend in person for fingerprints and photo checks; minors need a parental consent declaration. Dutch nationals can alternatively apply at a Dutch border municipality, which is cheaper.
Info Travel helps only within what the embassy allows: guidance on booking, the checklist and form, photos, translation and certification of Vietnamese supporting documents, and directions on the day. Once the new passport arrives, we transfer your visa or temporary residence card, apply for a new visa or handle exit formalities. We cannot attend biometrics or file the application on your behalf.
Consular legalisation, certification (MOFA / HCMC External Relations stamps) and notarised translation
Key change: Vietnam acceded to the Apostille Convention on 31 December 2025 and it entered into force for Vietnam on 11 September 2026 (HCCH status table). The Netherlands is a party and did not object, so between the two countries an apostille replaces the old legalisation chain. Background: apostille vs consular legalisation.
a) Dutch documents for use in Vietnam: obtain an apostille from the competent Dutch authority (usually a district court), then get a Vietnamese notarised translation in Vietnam. Where an authority still asks for the traditional route, documents can be legalised by the Vietnamese embassy in the Netherlands, or a signature legalised by the Dutch embassy and then by the Consular Department (MOFA, Hanoi) or the HCMC Department of External Relations – unless exempted under an international treaty.
b) Vietnamese documents for use in the Netherlands: according to NetherlandsWorldwide, they receive an apostille from the Vietnamese Ministry of Foreign Affairs; translations into Dutch, English, German or French must be sworn (if translated in Vietnam, apostille both the original and the translation). No further stamp from the Dutch embassy is needed.
Info Travel handles the whole chain – translation, notarisation, apostille or consular certification at MOFA/External Relations, and submission or collection at the mission when still required. See our consular legalisation service; quotes on WhatsApp +84327828822.
Dutch Consulate-General in Ho Chi Minh City
Dutch citizens in the south can book at the Consulate-General in Saigon Tower, 29 Le Duan – the only post in Vietnam that runs the civic integration exam abroad. Read: Consulate-General of the Netherlands in Ho Chi Minh City.
FAQ
Does the Dutch embassy in Hanoi have an email address?
There is no general consular email. Questions go through the NetherlandsWorldwide contact form; emergency travel documents and certificates of marital status or residence are requested at han-ca@minbuza.nl as each procedure page explains.
Can I walk in to renew my passport?
No. The consular desk works by appointment only, 09:00–12:00 on weekdays, and a passport and an ID card each need a separate slot.
Where do Vietnamese citizens apply for a Schengen visa for the Netherlands?
Short-stay visa applications are lodged through VFS Global by online appointment, not at the embassy’s consular desk.
What stamp does a Vietnamese diploma need for the Netherlands?
Since 11 September 2026, an apostille from the Vietnamese Ministry of Foreign Affairs plus a sworn translation. Info Travel can arrange all of it.
