Consular services for Finnish citizens

The Hanoi embassy provides consular services to Finns anywhere in Vietnam:

  • Applications for Finnish passports and ID cards, made electronically and submitted in person. Temporary ID cards can also be issued.
  • Notarial services: certifying signatures and copies, legalising documents and related tasks.
  • Help for Finns in distress, with the Foreign Ministry’s 24/7 duty line outside office hours.

Finnish visas and residence permits for Vietnamese applicants are not handled at the embassy. They go through VFS Global centres in Hanoi and Ho Chi Minh City.

What to know before you go

  • Book online at finlandappointment.fi (choose Vietnam). The embassy is moving to a new electronic appointment system in 2026.
  • There is no customer service on Fridays, so don’t plan to submit anything that day.
  • Bring your current passport and a photo no older than six months, and check the fee list beforehand.
  • The embassy is in a high-rise office tower. Arrive a few minutes early with original ID.
  • The embassy closes on Vietnamese and Finnish holidays. See the exceptional opening hours page.
  • The waiting area is small with limited seating. Arrive on time for your appointment and bring as few companions as possible.
  • The embassy is in the office section of Lotte Center. Use the office lobby rather than the shopping mall entrance, and bring ID to register at reception.

Common situations that bring foreigners to the embassy

Lost passport: get a police report and contact the embassy about replacement travel documents. Then sort out a new visa or exit procedures. If you are in HCMC or Da Nang, Info Travel can handle the visa side locally while you deal with Hanoi.

Passport renewal: a regular passport takes from about a week to several weeks. Once it arrives, transfer your visa or temporary residence card. If you need more time in Vietnam, apply for a visa extension.

Marriage and births: Finns marrying in Vietnam need Finnish proof of marital status and a birth record, apostilled and translated into Vietnamese with notarisation.

Work permits: Finnish degrees and criminal records need an apostille and a notarised translation.

Signature certification: powers of attorney for use in Finland can be signed before a consular officer by appointment.

Help with a Finnish passport in Vietnam

The Embassy of Finland in Hanoi accepts passport and ID card applications, which must be submitted in person by appointment. Passports are valid for up to five years.

Info Travel helps within what the embassy permits. We can guide the booking, help with photos, check documents and plan the Hanoi trip for clients in the south. After issue, we transfer your visa or TRC and deal with immigration formalities. You still attend in person and give biometrics yourself.

Consular legalisation, certification and certified translation

The key change is that, according to the embassy’s own news, the Apostille Convention has applied between Finland and Vietnam since 11 September 2026. Public documents now generally need just an apostille instead of two-step consular legalisation. See apostille vs consular legalisation.

Finnish documents for use in Vietnam: get an apostille from the competent Finnish authority, then a Vietnamese translation with notarisation. Vietnamese authorities will expect an apostille or legalisation unless another international treaty provides an exemption.

Vietnamese documents for use in Finland: get the apostille or consular certification from the Consular Department in Hanoi or the HCMC Department of Foreign Affairs, plus a translation into the language the Finnish authority accepts. For documents that still need legalisation, check with the embassy.

Info Travel offers the full package: notarised translation, the apostille or foreign affairs stamp, and consular legalisation where still required. Ask for a quote on WhatsApp.
