Consular services for Polish citizens

According to the embassy’s “Passports” and “Legal issues” pages, the Consular Section in Hanoi handles:

  • passports for adults and children (online applications possible for under-12s), temporary passports, parental consent for a child’s passport, and reports of lost passports;
  • civil status: transcription of Vietnamese birth and marriage certificates into the Polish civil register;
  • notarial acts: certification of signatures, certified copies, confirmation of the date a document was presented;
  • legalisation, translations, citizenship and inheritance matters;
  • Polish national and Schengen visas for Vietnamese citizens.

Consular duty days in Ho Chi Minh City (most recently 9 October 2026 at the Polish Investment and Trade Agency office, Sun Wah Tower, room 1401, 115 Nguyen Hue) accept passport applications, signature/copy certification and civil-status transcriptions. Register by email to hanoi.amb.wk@msz.gov.pl with your full name, phone number, PESEL and a short description; fees are paid by bank transfer in advance.

What to know before you visit

  • Book on e-Konsulat first. Citizens who renewed passports describe online registration as straightforward, but the phone window (15:00–16:00) is short, so call on time.
  • Use the consular gate on Ba Huyen Thanh Quan Street, not the main entrance at No. 3. Security staff check visitors at the door.
  • The counter is behind glass; arrange your documents in order so staff can check them quickly.
  • For Schengen visas, read the insurance requirements carefully – some applicants were asked to rebook because their policy did not match.
  • Bring your Polish passport (and old ones), Vietnamese visa or residence card, photos and proof of fee payment if you paid by transfer.
  • The embassy closes on Vietnamese and Polish public holidays (e.g. 3 May, 11 November).

What foreigners typically need help with

All documents lost. Report the loss to the police, then to the embassy, and apply for a temporary passport – citizens who went through this report that it was issued quickly. You will then need a new visa or exit procedures, since your Vietnamese visa was lost with the passport.

Passport expiring. Apply via e-Konsulat, then transfer your visa or temporary residence card to the new passport. If you need to stay while waiting, arrange a visa extension or a new e-visa.

Marriage and children. Poles marrying in Vietnam need a certificate of capacity to marry from Poland; the Vietnamese marriage certificate is then transcribed into the Polish register through the embassy (with a Polish translation). Children born in Vietnam need their birth transcribed before a passport can be issued.

Powers of attorney and property in Poland. Signature certification at the Consular Section is the quickest way to make a power of attorney valid in Poland. Vietnamese documents need a notarised translation or a sworn translation, depending on what the Polish authority requires.

Help with Polish passports in Vietnam

The Polish Embassy in Hanoi accepts passport applications for adults and children and issues temporary passports; applications are also taken on HCMC duty days. Applicants attend in person for fingerprints (unless exempt under Polish law) and collect the passport as instructed.

Info Travel assists within what the embassy permits: guidance on e-Konsulat booking or HCMC duty-day registration, photos, translations of Vietnamese birth/marriage certificates for transcription, and directions to the consular gate. Once you have the new passport, we transfer your visa or TRC, arrange a new visa or handle exit procedures. We cannot provide biometrics on your behalf.

Consular legalisation, MOFA/DOFA certification and certified translation

Poland has been party to the Apostille Convention since 2005; Vietnam acceded on 31 December 2025 and the Convention entered into force for Vietnam on 11 September 2026 (HCCH status table). Poland is not among the objecting states (Germany, Austria, Czechia), so the apostille replaces consular legalisation between the two countries. See apostille vs consular legalisation.

a) Polish documents for use in Vietnam: apostille from the Polish Ministry of Foreign Affairs, then a notarised Vietnamese translation. Fallback: legalisation at the Vietnamese embassy in Warsaw, or certification by the Polish Embassy in Hanoi followed by legalisation at the Consular Department (MOFA) or the HCMC Department of Foreign Affairs – unless exempted under an international treaty.

b) Vietnamese documents for use in Poland: apostille at the Consular Department or the HCMC Department of Foreign Affairs, then a Polish translation by a sworn translator (tłumacz przysięgły) or via the Consular Section, as the Polish authority requires.

Info Travel runs the full chain: translation, notarisation, apostille or MOFA stamp, and embassy submission/collection where needed. See our consular legalisation service; quotes on WhatsApp.
