Consular services for Spanish citizens
According to the embassy’s consular pages, Spaniards in Vietnam can obtain:
- Consular registration (inscripción consular) – required before many procedures, such as replacing a lost passport.
- Passports: renewal, replacement after loss/theft, provisional passports for urgent travel, safe-conduct documents (salvoconducto) and the EU emergency travel document (DPV UE).
- Civil registry: marriages, births and deaths – many Spanish–Vietnamese couples register their marriage here.
- Notarial acts, certificates, nationality files and certified copies (compulsa).
- Legalisation of foreign public documents and help obtaining a Spanish criminal record certificate.
- Voting from abroad – e.g. the embassy announced the Cortes Generales election of 29 November 2026.
- Schengen/national visas for Vietnamese and foreign residents of Vietnam.
Before you go
- Consular procedures require an appointment requested at emb.hanoi.vis@maec.es; legalisation and certified copies need none but are only accepted 09:00–10:00.
- Phones and electronic devices are not allowed inside – lockers are provided at the entrance.
- Read the instructions and checklists online before you go; staff often point callers back to the website, and well-prepared files move much faster.
- The reception speaks Spanish; bring forms completed, signed and dated, with originals and copies of your ID.
- The emergency line is not for routine questions.
- Closed on Vietnamese holidays and certain Spanish national holidays.
Common situations foreigners face
Lost or stolen passport. The embassy recommends a police report (optional for Spain, but Vietnamese immigration will want it). You declare the loss at the consular section – the old passport is cancelled immediately – and request a replacement or provisional passport, bringing two 32×26 mm photos on white. To leave Vietnam you need an exit visa: new passport, embassy note verbale, police report and flight ticket; it takes around 7 days. Info Travel can handle these exit procedures.
Passport expiring. After you receive a new passport, your long-term visa or temporary residence card must be transferred at immigration; if your visa is also running out, combine it with a visa extension.
Marrying a Vietnamese citizen. You need marital-status evidence and a Spanish birth certificate with apostille and notarised translation; after registering in Vietnam, the marriage is recorded in the Spanish civil registry via the embassy.
Work permits. Spanish criminal records and degrees need an apostille and translation before submission.
Spanish passport help in Vietnam
The Hanoi embassy issues passports to registered Spanish citizens; applicants must attend in person to sign and give fingerprints. Citizens in HCMC or Da Nang can ask the honorary vice-consuls for guidance, but passport files are processed in Hanoi.
Info Travel can request your appointment by email, prepare correctly sized photos, translate Vietnamese documents you need, explain the visit, and afterwards transfer your visa/TRC to the new passport or arrange exit procedures. We assist only within what the embassy permits.
Apostille, consular legalisation and notarised translation
Spain has been party to the Apostille Convention since 1978 and did not object to Vietnam’s accession. The embassy itself confirms that from 11 September 2026 Vietnamese public documents only need a Vietnamese apostille to be valid in Spain.
a) Spanish documents for Vietnam: obtain an apostille from the competent Spanish authority, then a notarised translation into Vietnamese. Note: documents issued by the embassy in Hanoi cannot be apostilled – take those to the Consular Department (MOFA) for certification. Legalisation via the Vietnamese Embassy in Madrid is a fallback only, unless a treaty exempts the document. See apostille vs consular legalisation.
b) Vietnamese documents for Spain: paper apostille from the Consular Department or the HCMC Department of Foreign Affairs (Vietnam does not yet issue e-apostilles), then present it directly in Spain – no embassy step. Notarised copies or People’s Committee-certified copies are not accepted by the embassy for legalisation. Add a Spanish translation where required.
Info Travel handles translation, notarisation, apostille at the Consular Department/Department of Foreign Affairs, and embassy legalisation drop-off and collection when needed. See our consular legalisation service; prices on WhatsApp.
