Consular services for Italian citizens
According to the embassy’s official website, the consular section serves Italian citizens registered with AIRE in the Hanoi district with:
- Electronic passports (an expiring passport cannot be extended – a new one is issued).
- Electronic identity cards (CIE): biometrics are taken at the embassy, the card is shipped from Italy and you are told by email when to collect it.
- Emergency Travel Documents (ETD) if your passport is lost.
- Civil status: transcription of births, marriages and other events registered in Vietnam into the Italian registers.
- AIRE registration – submitted online only via serviziconsolari.esteri.it.
- Notarial services: signature authentication, photo authentication, copies and extracts.
- Electoral services for voters abroad and certificates of existence (esistenza in vita).
- Emergency assistance: citizens in distress, tracing relatives, repatriation of remains.
Fees are set in euros, but in Hanoi they are paid only in cash in Vietnamese dong when you apply.
Before you visit
- Book by email: write to consolare.hanoi@esteri.it at least a week ahead. There are no walk-ins for passports; only certificates of existence and electoral services are exempt.
- Bring ID: your current passport or CIE and your Italian tax code (codice fiscale) – essential for signature authentication.
- Cash in VND for the fees.
- Closures: the embassy closes on Vietnamese and Italian public holidays; check notices on the website before going.
- Emergencies outside office hours (including weekends): call +84 90 343 0950.
- Hours on Google Maps (09:00–12:00) differ slightly from the consular schedule on the website; go by the time the embassy confirms in its email.
- Italian visas: Vietnamese applicants usually file through the authorised visa centre, which does not take applications every weekday – check its calendar first.
- Re-applying: if a previous file was incomplete, follow the latest checklist on the website so the next submission goes smoothly.
What foreigners most often need when they contact the Embassy of Italy
Most Italy nationals get in touch with their mission for one of the reasons below. Each one also has a Vietnamese-side step with the immigration authorities – that is the part Info Travel handles directly.
- Lost or stolen passport: report the loss to the local police and get a written confirmation; take it to the Embassy of Italy for an emergency travel document or a new passport; then, because your visa or entry stamp was in the old passport, apply for a new visa or complete the exit procedures for foreigners before leaving Vietnam.
- Passport about to expire: get a new passport, then transfer your valid visa or temporary residence card to it. If your permitted stay is also ending, a visa extension can be arranged at the same time.
- Marriage, birth registration or a work permit in Vietnam: certificates of marital status, birth certificates and criminal records usually need an apostille (or legalisation where the apostille does not apply) and a notarised Vietnamese translation.
- Signature certification: for powers of attorney, property or bank matters back in Italy.
- Voting and registration as a citizen living abroad.
Help with Italian passports in Vietnam
The Embassy of Italy in Hanoi does issue passports to citizens resident in its consular district and registered with AIRE; non-residents are served only exceptionally, with authorisation from the Questura or consulate responsible for their residence. The applicant must be present to collect an electronic passport, and minors must be accompanied by a parent.
Info Travel can draft the appointment email, help with forms and compliant photos, translate any Vietnamese documents you need to attach and brief you on what to bring. Once the new passport is ready, we transfer your visa or temporary residence card to it, or obtain an exit visa if the old passport was lost. We work only within what the embassy allows – personal attendance (fingerprints, signature, collection) is up to the applicant.
Consular legalisation, consular certification (Ministry of Foreign Affairs stamp) and notarised translation
Since 11 September 2026 the Hague Apostille Convention of 1961 has been in force for Vietnam. Italy is a party and did not object to Vietnam’s accession, so public documents moving between the two countries now need a single apostille instead of the multi-step legalisation chain. Background: apostille vs consular legalisation.
a) Italian documents for use in Vietnam
Italian public documents (birth certificates, certificates of marital status, criminal records, diplomas…) are apostilled by the competent Italian authority – usually the Prefettura for administrative documents and the Procura della Repubblica for court and notarial documents. No stamp from the Vietnamese mission in Italy or from the Consular Department is needed any more; you only add a notarised Vietnamese translation before filing with Vietnamese authorities.
b) Vietnamese documents for use in Italy
The Consular Department of the Ministry of Foreign Affairs (Hanoi) or the HCMC Department of Foreign Affairs – Vietnam’s competent authorities under the Convention – issue the apostille. Then have the document translated into Italian as the receiving office requires; the embassy’s “Traduzione e legalizzazione” page lists translators in Hanoi and HCMC.
When is consular legalisation still needed?
The Convention does not cover documents drawn up by diplomatic or consular agents (for example a signature certified by the Embassy of Italy) or certain commercial and customs documents. For those, or if a receiving authority still insists, the old route remains: certification at the Embassy of Italy and legalisation at the Consular Department/HCMC Department of Foreign Affairs, or certification in Italy and legalisation by the Vietnamese mission there – unless a treaty provides an exemption.
Info Travel handles the whole chain: translation, notarisation, the Ministry/Department of Foreign Affairs stamp, and submitting and collecting files at the mission – see consular legalisation in Vietnam. Costs depend on the document type and page count; message us on WhatsApp +84327828822 for a quote.

Frequently asked questions
Can I walk into the Italian Embassy in Hanoi without an appointment?
Generally no. Consular counters work by appointment booked via consolare.hanoi@esteri.it, ideally a week in advance. Certificates of existence and electoral services are the exceptions.
Can my Italian passport be renewed?
Not extended – the embassy states that expired passports cannot have their validity prolonged. You apply for a new passport and then move your Vietnamese visa or residence card to it.
Can I get a CIE in Hanoi?
Yes, if you are AIRE-registered in the Hanoi district. Biometrics are captured at the embassy and the card is sent from Italy; you are notified by email.
How are fees paid?
The fee table is in euros, but Hanoi accepts only cash in Vietnamese dong at the embassy’s published exchange rate.
