Consular services for Japanese citizens
The consular email ryoji-danang@xu.mofa.go.jp handles the following, each with its own guidance page on the website:
- Residence notification (在留届) for stays of three months or more.
- Passports: new issue, renewal and lost passports.
- Family register and nationality: marriage, birth and other notifications.
- Certificates of various kinds (各種証明).
- Overseas voter registration.
- My Number cards.
The consulate also accepts Japan visa applications from Vietnamese residents of central Vietnam.
Before you visit
- Bring your passport or a government-issued photo ID – the consulate’s guidance page asks for it.
- 2026 closing days: 21 days besides weekends, including Tet (16–20 February), National Day (1–2 September) and 24 November; it is also closed on 22 August even though Vietnam works that day. Dates may change if Vietnam adjusts its holidays.
- Appointments: the office-hours page does not mention booking – call or email ahead to be safe.
- Office building: the consulate is on floors 4–5, with security at the entrance.
- On Google Maps it appears as “Consular Office of Japan in Danang”, pinned correctly at the building on 2/9 Street.
- Calling ahead pays off: the phone is usually answered quickly, including questions on special cases such as dual-national children.
- No need to travel to Hanoi or HCMC: residents of central Vietnam can handle most paperwork here, usually with little waiting.
What foreigners most often need when they contact the Consulate General of Japan
These are the situations we see most often among our clients:
- Passport lost or stolen: start with a police loss report. With it, the Consulate General of Japan can consider issuing an emergency travel document or a replacement passport. The new document carries no Vietnamese visa, so you will need a new visa or an exit visa before going to the airport – see exit procedures for foreigners.
- Passport validity running short: Vietnamese authorities require enough remaining validity to issue a temporary residence card or a visa extension. After renewal, the visa or card has to be moved to the new passport.
- Personal-status documents: proof of marital status to marry a Vietnamese citizen, birth documents for a child born in Vietnam, degrees and police records for a work permit.
- Notarising signatures on declarations and powers of attorney for use in Japan.
- Citizen registration and overseas voting.
Help with Japanese passports in Vietnam
The Consulate General of Japan in Da Nang handles passport procedures for citizens in central Vietnam, so Japanese residents of Hue, Quang Ngai or Gia Lai need not travel to Hanoi or HCMC. Applicants normally attend in person to apply and collect.
Info Travel can obtain the police loss report, prepare photos and translations and coordinate timing with the consulate; afterwards we move your visa or temporary residence card to the new passport or arrange exit procedures. We assist only within what the consulate allows.
Consular legalisation, consular certification (Ministry of Foreign Affairs stamp) and notarised translation
Since 11 September 2026 Vietnam has applied the Apostille Convention. Japan is a party and did not object to Vietnam’s accession, so most public documents between the two countries now need just one apostille:
- Japanese documents for use in Vietnam: apostille from Japan’s Ministry of Foreign Affairs (外務省), replacing 公印確認 plus legalisation by a Vietnamese mission in Japan; then a notarised Vietnamese translation.
- Vietnamese documents for use in Japan: apostille from the Consular Department (Hanoi) or the HCMC Department of Foreign Affairs, plus a Japanese translation – no visit to the Consulate General of Japan in Da Nang needed.
- Exception: certificates issued by the consulate general (署名証明, 在留証明…) are consular documents outside the Convention – for use in Vietnam they are still legalised at the Consular Department/HCMC Department of Foreign Affairs, unless a treaty provides an exemption.
Info Travel handles the whole chain: translation, notarisation, the Ministry/Department of Foreign Affairs stamp, and submitting and collecting files at the mission – see consular legalisation in Vietnam. Costs depend on the document type and page count; message us on WhatsApp +84327828822 for a quote.
